Privacy Policy

Overview

Big Heavy LLC (“we,” “us,” “our”) operates Majordomo, an AI-powered household management assistant, at majordomo.family. This policy describes how we collect, use, store, and protect your personal information when you use our service, including SMS messaging.

Information We Collect

We collect the following categories of personal information:

  • Account information: name and email address (collected during Google OAuth sign-in)
  • Phone number: your mobile phone number, used to send and receive SMS messages with Majordomo
  • SMS/MMS content: the text and media content of messages you send to and receive from Majordomo
  • Household data: family member names, birthdates, schools, addresses, and other household information you provide through conversation or the web dashboard
  • Task data: todos, reminders, calendar events, home maintenance records, directory entries, and other household management data
  • Voice memos: audio recordings you submit, which are transcribed and stored
  • Photos and files: images and documents you send via SMS, chat, or email for processing
  • Usage data: standard server logs (IP address, browser type, pages visited)

How We Use Your Information

  • Process and respond to your SMS messages using AI
  • Manage your household tasks, reminders, and calendar
  • Store and organize your household directory and family information
  • Provide proactive check-ins and briefings
  • Generate timeline events from your conversations and uploads
  • Improve the accuracy and relevance of AI responses using conversation context
  • Monitor errors and maintain service reliability

We do not sell your personal information to third parties.

AI Processing

Your messages and household data are processed by Anthropic's Claude AI to generate responses and manage tasks. Message content is sent to Anthropic's API for processing but is not used by Anthropic to train their models (per Anthropic's commercial API terms). We also use OpenAI's Whisper for voice transcription and text-embedding-3-small for semantic search capabilities.

Third-Party Services

We use the following third-party services to operate Majordomo:

  • Twilio: SMS/MMS message delivery (subject to Twilio's Privacy Policy)
  • Anthropic: AI processing for message understanding and response generation
  • OpenAI: voice transcription (Whisper) and text embeddings
  • Neon: PostgreSQL database hosting (data stored in US East region)
  • Cloudflare R2: file and media storage (photos, voice memos, documents)
  • Vercel: web application hosting
  • Google: OAuth authentication and calendar integration
  • Sentry: error monitoring and performance tracking

SMS Data Handling

SMS messages are received via Twilio webhooks, processed by our AI system, and stored in our database for conversation continuity. We retain SMS message history to provide context for ongoing conversations and to maintain your household records. Media attachments (photos, files) sent via MMS are stored in Cloudflare R2.

We will not share, sell, or provide your mobile phone number or SMS/MMS message content to third parties for marketing or promotional purposes.

Data Storage and Security

Your data is stored in Neon PostgreSQL (US East region) with encryption at rest and in transit. Files and media are stored in Cloudflare R2 with server-side encryption. We use HTTPS for all connections, validate Twilio webhook signatures, and implement rate limiting on API endpoints. Access to the web dashboard requires Google OAuth authentication.

Data Retention

We retain your data for as long as your account is active. SMS message history, household data, and uploaded files are retained to provide continuous service and maintain your household records. You may request deletion of your data at any time by contacting us. Upon account deletion, we will remove your personal data from our systems within 30 days.

Cookies and Authentication

We use session cookies to keep you signed in to the web dashboard after authentication via Google OAuth. These cookies are essential for the platform to function and are not used for tracking or advertising purposes.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data
  • Opt out of SMS communications (text STOP to our number)
  • Request a copy of your data in a portable format

Children's Privacy

Majordomo is not intended for use by individuals under the age of 18. While household data may include information about family members of all ages (such as children's names and birthdates for family management purposes), only adults may operate the service and provide this information.

Changes to This Policy

We may update this privacy policy from time to time. When we make changes, we will update the effective date at the top of this page. Your continued use of Majordomo after changes take effect constitutes acceptance of the updated policy.
